How URBX College of Aviation collects, uses and protects your personal information — written in plain language, not legalese.

Who we are
URBX College of Aviation is an educational institution run by URBX Educational Trust, part of the URBX Group. In this policy, “we”, “us” and “the College” refer to URBX College of Aviation.
We collect personal information only where we need it to answer an enquiry, process an application, run our courses, or meet a legal obligation. We do not sell personal information, and we do not share it for anyone else's advertising.
Information you give us
Everything below is information you enter yourself, on a form on this website. Nothing here is collected without you filling something in and submitting it.
Enquiry & contact form
Name, email address, subject and your message.
Brochure download
Name, email address, phone number and the course you asked about.
Admission application
Full name, email, phone, gender, address, city, state, previous school, board, percentage and year of passing.
Career application
Name, email, phone, the position applied for, years of experience, your cover letter and your uploaded CV.
Student grievance
Name, college ID, email, grievance category and your description of the issue.
AI enquiry assistant
The messages you type into the chat widget, so the assistant can answer your question.
Uploaded CVs are read automatically to pull out contact details and experience, purely to save our team retyping them. No automated decision is made about your application.
Information from social media and advertising platforms
We advertise our courses on Meta platforms (Facebook and Instagram). If you submit an enquiry through one of those ads — a Meta “lead form” — Meta passes us the details you filled in on that form.
- Typically your name, phone number, email address, city and the course you are interested in — exactly the fields shown on the ad form before you submitted it.
- We use it only to contact you about the course you enquired about.
- These enquiries are stored in our internal admissions system so our counsellors can follow up and avoid contacting you twice.
- If you message our official WhatsApp number, or reply to a message from us, we keep that conversation alongside your enquiry so whoever helps you can see the history.
We access this data through Meta's official APIs, under the permissions you granted when you submitted the form. We do not scrape social media profiles, and we do not receive your friends list, posts or any other profile information.
How we use your information
- To reply to your enquiry and send the course details or brochure you asked for.
- To process and assess an admission or job application.
- To register and support you as a student, if you join us.
- To investigate and resolve a grievance you raise.
- To send you information about admissions, entrance tests, events and deadlines relevant to what you enquired about.
- To meet obligations to affiliating and regulatory bodies, and to keep the records we are required by law to keep.
- To understand which pages and campaigns people find useful, so we can improve the website.
We rely on your consent for marketing communication. You can withdraw it at any time — see Your rights below — and we will stop, while keeping any records we are legally required to retain.
Who we share it with
We do not sell your personal information. We share it only with organisations that help us run the College, and only as far as they need it to do that job:
- Website hosting and database providers, who store the site and its records.
- Our email provider, used to send you replies, confirmations and notifications.
- File storage used for documents you upload, such as a CV.
- Website analytics, which tells us how pages are used — see Cookies below.
- The AI assistant that powers our chat widget, which processes your messages to generate a reply.
- WhatsApp Business messaging, where you have chosen to talk to us on WhatsApp.
- Government, regulatory or affiliating bodies, where we are required to report or to verify records.
Some of these providers operate servers outside India. Where that happens, we take reasonable steps to ensure your information stays protected to the standard described in this policy.
Cookies and analytics
This site uses cookies and similar technologies to keep the site working, remember your preferences, and measure how the site is used through Google Tag Manager and the analytics tools connected to it. We also use a privacy-friendly challenge on our forms to block automated spam — it checks the browser, not the person.
You can block or delete cookies in your browser settings. The site will still work, though some conveniences may not.
How long we keep it
- Enquiries and brochure requests: kept while we are actively following up, and for a reasonable period afterwards in case you come back to us.
- Admission applications: kept for the duration of the admission cycle and afterwards as required by our affiliating and regulatory bodies.
- Student records: kept for as long as you are enrolled and for the period we are required to retain academic records.
- Job applications: kept for the recruitment process and for a reasonable period afterwards, in case a similar role opens.
- Grievances: kept as long as needed to resolve the matter and to evidence that it was handled properly.
When information is no longer needed for any of these purposes, we delete it or remove the details that identify you.
Your rights
Under India's Digital Personal Data Protection Act, 2023, you may ask us to:
- Tell you what personal information we hold about you and what we do with it.
- Correct information that is wrong, incomplete or out of date.
- Delete information we no longer need to keep.
- Withdraw your consent to marketing communication at any time.
- Nominate someone to exercise these rights on your behalf if you are unable to.
Write to us using the contact details below and we will respond within a reasonable time. If you are not satisfied with how we have handled your request, you may raise the matter with the Data Protection Board of India.
Applicants under 18
Some of our applicants are under 18. Where we know that to be the case, we process their information only with the consent of a parent or legal guardian, and we do not use it for targeted advertising or behavioural tracking. If you believe a child's information has been given to us without that consent, contact us and we will remove it.
Keeping your information safe
Access to personal information is limited to staff who need it for their role. Our systems are protected by authentication, our website is served over an encrypted connection, and our forms are protected against automated abuse. No system is perfectly secure, but if a breach ever affects your information we will notify you and the relevant authority as required.
Changes to this policy
We may update this policy as our courses, systems or legal obligations change. The date at the top of this page shows when it was last revised. Material changes will be highlighted on this page.
